How to export a list of all repeating invoices in Xero (next run date, amounts, customers)
You need a list of every repeating invoice: who is billed, how much, and when each one next runs. Maybe it is for a price review, a cash forecast, an audit or a move to another system. Xero’s own export does not include repeating invoice templates. This guide shows what you can pull out of Xero by hand, where that stops, and how to get the full list as a CSV.
Last checked 23 Oct 2026 against Xero Central, Xero Product Ideas and the Xero developer documentation.
What Xero will and will not export
Xero’s export article says you can export invoices, bills, credit notes, prepayments and overpayments to CSV, up to 500 transactions at a time. It also says: you can’t export repeating invoice or bill templates. So the list has to come from somewhere else.
Xero users have asked for this. Votes and status as of 23 Oct 2026: the bulk import and export idea has 294 votes and the status Accepted, and Xero replied on 15 Jul 2026 that the work isn’t currently roadmapped and that it recognises the gap. The repeating invoices report idea has 269 votes and the status Not in pipeline.
The manual method
- Open the Repeating tab. In the Sales menu, select Invoices, then open the Repeating tab. Xero’s article says each template is shown with the date of the next transaction.
- Set up a sheet. One row per template line. Columns: customer, reference, how often it repeats, next run date, end date, whether it saves as draft, approves, or approves for sending, line description, quantity, unit price, line total, currency, and whether amounts are tax exclusive or inclusive.
- Copy what the list shows. Check which columns your list has. If they cover what you need, select the table and paste it into the sheet. Otherwise type them in.
- Open each template for the rest. The lines, the repeat interval, the end date and the approval setting are inside the template.
- Do the bills. Repeating bills are under Purchases, then Bills, then the Repeating tab. Click the supplier’s name to open a template.
- Date the sheet. Write the date you copied it at the top. Anyone can edit a template after you have copied it.
Be honest about the time. If you need one minute per template to open it and copy its details, 150 templates take two and a half hours and 400 take nearly seven. The sheet is already out of date when you finish, and a typing slip in an amount is invisible.
A partial shortcut: export the invoices the templates have created
Xero can export ordinary invoices. In the Sales menu select Invoices, choose a tab, optionally use Search to set dates, and click Export. For bills, use the Purchases menu, Bills, a tab, then the menu icon next to New Bill and Export bills. Each line item is a separate row, which matches the layout the import uses.
Commenters on the report idea suggest two tricks: the Receivable Invoice Detail report, which shows invoices already created from a template, and giving repeating invoices their own branding theme so that you can filter on it. Both have the same limits:
- They show what has already been created, so a template that has not run yet is missing.
- Nothing in the export tells you the next run date or that the series has ended.
- Nothing marks an invoice as coming from a template unless you set up a convention such as the branding theme first.
Check the list is complete
Before you rely on the sheet, test it. Count the rows against the templates on the Repeating tab for each type. Look for templates with an end date in the past: Xero’s article defines the end date as the last date a transaction is created, so those create nothing more. Note the repeat interval of every template as well, because a list sorted by next run date hides how often each one bills. If the list feeds a forecast, add a column for the monthly value, so that a yearly template of 1,200 and a monthly template of 100 compare fairly.
Reading the templates with code
Xero’s developer documentation lists a GET method for repeating invoices, so an app authorised on the organisation can read the templates through the API. That needs an OAuth app and code, which is rarely worth building for a one-off list. Xero’s repeating invoice article points to the Xero App Store for more advanced needs; check whether any app there lists templates before you build anything.
The Repeatwise way
Repeatwise is an independent app that works with Xero. It was built to change prices on repeating invoices, and listing them is the first step of that, so the list comes free.
- Connect. Sign in with Xero and choose the organisation. Repeatwise asks for your sign-in identity and the invoices permission group, and for no access to contacts, payments, bank data or reports.
- Scan. Repeatwise reads every repeating invoice and shows customer, reference, frequency, next run date, lines and totals. Filter by invoice type, customer, currency, item code, account code or description text.
- Download the CSV. The export is free.
The same CSV has a NewUnitAmount column. If you later want to change prices, fill that column for the lines you want to change and upload the file back. Repeatwise then shows a preview before anything is written. If you only need the list, stop after step 3: nothing in Xero has changed.
Repeatwise lists templates as a step towards repricing them. It does not forecast cash flow or draw reports. If you need a forecast, use the CSV as the input to the tool that does.
The scan, the list and the CSV are free, and so are previews. Annual access is $590 per organisation per year, paid upfront, excl. VAT/sales tax; it renews each year until you cancel renewal. See pricing for what a paid plan adds: a $39 pass for 14 days and up to 250 templates changed, or $59 a month per organisation, excl. VAT/sales tax.
Questions
Can Xero export repeating invoices to CSV?
Not the templates. Xero’s export article says you can export invoices, bills, credit notes, prepayments and overpayments, and that you can’t export repeating invoice or bill templates. Apps that read the Xero API can list them.
Is there a report that shows repeating invoices?
Not a dedicated one. On the Product Ideas page for that request, Xero’s community manager wrote on 21 Jul 2025 that no work is currently planned to develop a specific repeating invoices report.
Where do I find the next run date?
On the Repeating tab under Sales, then Invoices. Xero’s article says templates are listed with the date of the next transaction. For bills, use the Repeating tab under Purchases, then Bills.
Does the scan change anything in Xero?
No. The scan only reads. Changes happen only if you later choose a price rule, preview it, and type the confirmation.
Does the list include repeating bills?
No. The scan lists repeating sales invoices only.
How long does Repeatwise keep the scan?
The list is read from Xero each time you open it and is not stored by Repeatwise. Download the CSV if you want to keep the list. The privacy policy lists everything else that is kept.
Is the free scan limited to 5 templates?
No. The 5-template allowance applies to templates you change, not to the scan. The scan, the list and the CSV export are free.
