How to edit a repeating invoice in Xero (one template, or the prices on all of them)
To edit a repeating invoice in Xero you edit its template: open the Repeating tab, click the template, change it and save. The change reaches invoices created after you save it, not the ones already sent. This guide gives those steps, the ways an edit goes wrong, and what to do when the edit is a price change on dozens of templates. Repeatwise changes prices only. It does not edit dates, customers or any other field.

Edit one repeating invoice by hand
A repeating invoice in Xero is a template. It holds the customer, the lines, the schedule and what Xero does with each invoice it creates. Xero’s repeating invoice article describes adding and editing these templates. For a single template, editing by hand is the right tool: it takes a couple of minutes and nothing else is needed.
- Open the template. In the Sales menu, select Invoices, open the Repeating tab and click the template in the list.
- Change what needs changing. The customer details, the lines, the prices, the repeat interval, the due date, the end date and the approval setting (Save As Draft, Approve, or Approve for Sending) are all fields on the template.
- Check the tax setting. Look at the Amounts are setting (tax exclusive or tax inclusive), so a price you type follows the same basis as the old one.
- Leave Next Invoice Date alone unless you mean to move it. Xero’s article warns that moving it to a past date creates all the transactions again from that date.
- Save. Xero says changes to an existing template are applied to all subsequent transactions, and you can see them in the History and Notes.
- Check one generated invoice after the next run. Open it and confirm it carries the change. Invoices created before your edit keep their old details.
Repeating bills are edited from their own tab (Xero article).
What an edit does and does not touch
- Later invoices only. The change is applied to transactions created after you save. Invoices already generated from the template are unaffected.
- The next run. If a template runs today, the invoice may already exist at the old price. If the template is set to Approve for Sending, Xero’s article says the invoice is emailed on the date it is created, so edit the templates with the nearest run dates first.
- The start and next dates. Moving the Next Invoice Date to a past date creates transactions again from that date. Treat it as a field you change only on purpose.
- Inventory items. Xero’s article has a note on inventory: if you update an inventory item’s selling price on the template, the updated price won’t flow through to new repeating invoices and has to be changed on the invoice after it is created. Change one such template and check the generated invoice before you do the rest.
When the edit is the same price change on many templates
The common reason to open template after template is a price rise. If opening, editing and saving one template takes two minutes, 150 templates take five hours before any checking, and a slip in one amount is hard to see. Xero’s documented flow has no batch before-and-after review of prices, and Xero has no button that changes prices on every repeating invoice together.
Xero users have asked for one. Votes and status as of 23 Oct 2026: Repeating Invoice - bulk update of amounts has 273 votes and the status In discovery, and Repeating Invoices - Ability to bulk update repeating invoices has 61 votes. For the full price-rise routine, including timing and rounding, see the guide to updating all repeating invoices at once.
Why bulk tools replace templates
Xero’s own screen edits an existing template, but its RepeatingInvoices API supports creating and deleting templates, with no call to edit one in place. An app that changes prices in bulk therefore has to replace each template and be open about what cannot carry over. That is how Repeatwise works, and the next section says what it keeps and what it loses.
The Repeatwise way
Repeatwise is an independent app that works with Xero. It does the price edit for the whole batch and shows you the result before it writes anything.
- Connect and scan. Sign in with Xero and choose the organisation. The free scan lists every repeating invoice with customer, reference, frequency, next run date, lines and totals.
- Choose the price change. A percentage, a fixed amount per unit, one price, a price list by item code, or an exported CSV where you fill the NewUnitAmount column. Filter by customer, currency, item code, account code or description text to edit only some templates.
- Preview. Each line before and after, totals per currency, warnings, and the templates it will skip with the reason. The preview is free and unlimited.
- Run. Type REPRICE and the number of templates. The job runs in the background.
- Keep the backup. You get a report CSV, a backup of every original, and Undo for 30 days.
For each template Repeatwise saves the original, creates a new template with the new prices starting on the day the original would have run next, reads it back and compares it field by field, and deletes the original only if they match. The new template has a new ID in Xero, the history notes of the old one do not carry over, and invoices already created are not affected.
It skips repeating bills, templates with file attachments, templates whose next run is today or tomorrow (UTC), ended series, and monthly templates whose run day is not the start day. Unit prices with more than 2 decimals are refused or skipped. Each skipped template is listed with its reason, so you can edit it by hand using the steps above. Online Payments is not copied: the API exposes no field for it, so the replacement can show None and you set it again in Xero.
The scan, the preview and the CSV export are free, and so are the first 5 templates you change in each organisation. After that a $39 pass covers one organisation for 14 days and up to 250 templates, and $59 a month per organisation has no template limit; both prices are excl. VAT/sales tax. Annual access is $590 per organisation per year, paid upfront, excl. VAT/sales tax; it renews each year until you cancel renewal. See pricing.
Questions
Does editing a repeating invoice change invoices already created?
No. Xero says changes to a template are applied to subsequent transactions, and invoices already generated from the template are unaffected. If one went out with the old details, correct that invoice by hand.
Where do I find a repeating invoice to edit?
In the Sales menu select Invoices and open the Repeating tab. Xero’s article says the tab shows each template with the date of the next transaction. Repeating bills are under Purchases, then Bills, then the Repeating tab.
Can I edit many repeating invoices at once in Xero?
Xero’s documented flow edits one template at a time. Xero users have asked for a bulk edit: the Product Ideas request for bulk update of amounts had 273 votes as of 23 Oct 2026. For prices only, Repeatwise applies one rule to a whole batch with a preview first.
Can Repeatwise edit fields other than the price?
No. It changes unit prices. Dates, customers, descriptions, quantities and approval settings are copied across as they are, so change those in Xero yourself.
Can I undo a Repeatwise price change?
Yes, for 30 days after the job. Undo re-creates each template with the old prices. A template someone edited after the job is skipped and listed, not overwritten.
Does Repeatwise change repeating bills?
No. Repeatwise changes repeating sales invoices. Repeating bills are listed and exported but never changed.
